Privacy Notice: Filming and/or Photography at New Life Church  

Your personal information is held by New Life Church as the Information Data Controller for the purposes of the Data Protection Act, with Sharon Clark appointed as Data Protection Officer.

  • Filming and/or photography may take place during events and services held at New Life Church Milton Keynes (NLC). This privacy notice outlines how we collect, use and process your personal information in relation to photography, filming and live-streaming of church services, in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. It also explains how you can opt out if you do not wish to be filmed or photographed. 

  • The data controller is New Life Church Milton Keynes (NLC). 

  • We collect personal data for the following purposes: 

    • Recording, uploading, or live-streaming church services online to reach those unable to attend in person. 

    • Documenting NLC’s church services and events. 

    • Promoting NLC’s activities via our website, social media, and printed materials. 

    • Maintaining a visual archive for historical purposes. 

    • Managing Media Consent Forms related to filming and streaming. 

    • Image – Your image may be captured via photo, video, or CCTV, and may be considered personal data if you are identifiable. 

    • Name and contact details –provided through the Media Consent Form. 

    We also process special category data, including:  

    • Religious belief – Participating in the service may imply religious belief.   

  • In this section, we outline the legal bases New Life Church uses.  

    4.1  Legitimate Interest

    In specific situations, we require your data to pursue our legitimate interests in a way that it is reasonable to expect as part of running a church. We do this in a way that does not materially affect your rights, freedom or interests. 

    4.2 Consent

    At large public events (e.g. regular services) formal written consent is not required. This would include, for example, most services, as they are freely accessible to the public.

    We take steps to minimise privacy intrusion by making every effort to ensure that you are aware when photographing/filming is taking place. We will endeavour to display a suitably prominent notice at the church service/event or alert people that photographs may be taken (and how anyone can opt-out). ‘Film-free areas’ of the church will be clearly marked by notices in the church before filming or photography starts.  

    If you are: 

    • leading a service or event, preaching, participating in the worship team, reading scripture or leading prayers from the front of the church, your consent is implied by participation.   

    • invited to come up to the front of the church in view of cameras, and you do not wish to be filmed or photographed, you should decline the invitation.   

    For events involving children: 

    • If you do not give consent for children and young people under 16 in your care being photographed or filmed, you should ensure they remain in non-visible areas.  You can also choose to opt out by completing the Media Consent Form and selecting the option to not consent to the use of your child’s image and/or video. 

    • If a child under the age of 16 years will be participating in an activity at the front of the church (for example, dedication of children or water baptism), you may be asked to consent on their behalf.In these instances, we will seek your consent via the Media Consent Form. By signing the Media Consent Form, you are consenting to us using your children’s data for the purposes set out above.   

    All concerns regarding inappropriate or intrusive photography should be reported to a member of the leadership team and the Child Safeguarding Officer.  

    Important: In the filming areas, once live-streaming or filming has started, or group photographs have been taken, consent cannot be withdrawn retroactively.  Images or videos already published online cannot be fully removed or edited. 

  • We may share photographs and recorded or live-streamed services on a wide range of physical and digital mediums including print (for example posters, brochures and leaflets), digital (on our website or digital screens) and on our social media accounts (such as Facebook, YouTube, Instagram, TikTok, X).  

  • Your data may be stored outside the UK, depending on the platform used.  Each platform (e.g. YouTube) has its own privacy policy which describes how your data is used and protected.

  • We will keep your data for up to 5 years, unless related to special or archival services, which may be retained permanently. 

  • You have the following rights regarding your personal data: 

    • Access - You have the right to request access to your data.  

    • Withdraw consent – You have the right to withdraw your consent as described in section 4 above*. 

    • Rectification – Correct inaccurate or incomplete data (only applies to name/contact details, not images)*.  

    • Erasure – Request deletion of data in certain circumstances*.  

    • Restriction – Request restriction of processing in certain circumstances*.  

    *The rights to withdraw consent, or request erasure or restrict processing are limited once the data is uploaded online. We cannot guarantee removal or editing of images or videos already online.
